What Changed In CAFM For 2026?

Published pricing. The enterprise end of this market is uniformly quote-only. Planon, MRI Evolution, QFM, Concerto and Micad all require a sales call to see a number. The modern axis is a price you can read on the website. Only the SME-tier tools publish or hint at per-seat figures, and even they push "contact us" above a threshold.

Migration in days, not months. Enterprise CAFM onboarding is a project, not a signup. Planon implementations commonly run 9 to 18 months via a certified partner, and third-party profiles put Year-1 total cost of ownership at roughly 1.5 to 2 times the annual licence in professional services. The modern axis is self-serve migration measured in days, because AI does the re-keying that used to justify the project.

Unlimited contractor and tenant access. Legacy licensing is per named user, which taxes exactly the people you most want in the system: the contractors closing jobs and the tenants raising them. The modern axis makes editor seats the only billable unit and gives field users free, unlimited access.

The honest caveat: the incumbents are entrenched, feature-complete for hard and soft FM, and trusted by NHS Trusts, government and blue-chips. A challenger wins on ingestion, pricing transparency, time-to-value and contractor economics. It does not win on the breadth of soft-services modules or a 20-year reference list. Keep both halves in mind as you read the ranking.

1. Proprietas

What it is. The distinguishing move is that the software reads your documents rather than waiting for you to key them in.

Best for. The modern, compliance-led UK estate or portfolio: multi-academy trusts, care and hotel groups, managing agents and public-sector estates in the 10 to 300 building range, whose daily exposure is compliance, leases and contractors rather than capital-projects modelling.

Why it ranks first here. It is the tool built for the four 2026 axes rather than retrofitted to them. Concretely:

  • AI document extraction with page citations. Drop an FRA, EICR, gas, legionella, asbestos or LOLER certificate, or a full lease, and the dates, type, reference and result pull out, each cited to the page it came from. Statutory dates below a confidence threshold route to human review rather than being auto-filed on a guess.

Watch-outs. Implementations of 9 to 18 months via a partner, quote-only pricing, heavy total cost of ownership, and genuine overkill for anything below large enterprise.

3. MRI Evolution (formerly FSI Concept Evolution)

What it is. A browser-based enterprise CAFM and CMMS covering hard and soft FM on one platform, now part of MRI Software's wider real-estate suite. UK-born as FSI, acquired by MRI in August 2021 and rebranded from Concept Evolution.

Best for. Complex multi-site UK estates and FM service providers that want hard and soft FM under one roof, especially teams already in the MRI ecosystem.

Watch-outs. Enterprise implementation weight and a quote-based sales motion. The FSI to MRI rebrand means some documentation still references Concept Evolution, which can confuse buyers. The depth of the newer AI and IoT claims is marketing language we could not independently verify.

4. Concerto

What it is. A modular UK IWMS and CAFM spanning estates management, a CAFM helpdesk, real estate, projects, health and safety and permit-to-work. Launched in 2004; acquired by the property and FM group Bellrock in 2016.

What it is. A highly configurable web and mobile CAFM for hard and soft FM, space, room bookings and property and estates. London-based Service Works Global, part of Sweden's Addnode Group since 2017.

Best for. Organisations that want a configurable, modular CAFM they can shape to existing naming conventions and processes, with particular strength in space and bookings.

Pricing. Quote-only. No published pricing.

Watch-outs. Quote-based, and the configurability that is its strength implies setup and consultancy effort. The brand is lower-profile than Planon or MRI.

6. Micad (by Singu)

What it is. A UK CAFM with roots in space and drawing management that grew into compliance, asset-lifecycle and estates management, delivered as SaaS with mobile apps. A 30-plus year heritage.

Best for. NHS Trusts and audit-heavy healthcare and public estates that need structured statutory compliance, asbestos data, space records and an estates terrier.

Watch-outs. Quote-based and healthcare-centric, so less of a general commercial fit. The vendor claims a dominant NHS footprint (around 180 of roughly 240 Trusts, plus large site and floor-area figures), but treat those as vendor marketing numbers we could not independently verify. 7. Joblogic

What it is. A field-service management, CAFM and CMMS platform with strong job-management roots for UK trade contractors. Cloud and mobile-first.

Best for. FM contractors and maintenance and service businesses that live in the field: scheduling engineers, jobs, contracts and mobile workflows.

Pricing. Partly published, which is a genuine differentiator against the enterprise pack. The Standard tier starts from 45 pounds per user per month billed annually, with a 30-day free trial; Premium and Enterprise tiers are quote-based. (Verified against the vendor's pricing page.)

Watch-outs. Contractor and field-service DNA rather than estates and compliance-first. Per-seat pricing scales with headcount, and the richer tiers still go quote-based.

8. ShireSystem (Elecosoft)

What it is. A combined CMMS and CAFM for maintenance-led operations: modular, rapid-deploy, and available cloud-hosted or on-premise. Established in 1982 and owned by Elecosoft (not Bellrock, a common mix-up).

Best for. Manufacturing, aviation, food and drink, healthcare and industrial sites where planned maintenance and asset uptime are the primary driver.

Pricing. Not publicly listed as a firm number; positioned as affordable and modular, with support included in the subscription and onsite training charged extra. Treat any specific figure as unverified.

Watch-outs. CMMS-first, so estates, lease and statutory-property depth is lighter. The on-premise legacy option signals an older architecture lineage, and pricing is not published.

9. Elogbooks (Vantify, Marlowe plc)

What it is. A cloud CAFM paired with a branded 24/7 helpdesk and service desk: supplier SLA management, work-order workflow and an audit trail. Used across 22,000-plus UK and EU properties; part of Marlowe plc's compliance and software division, now under the Vantify brand.

Best for. Managing agents and property owners with large multi-let portfolios who want an outsourced, managed helpdesk driving contractor jobs, not just software.

Pricing. Quote-only. The managed-service component makes it engagement-priced.

Watch-outs. It is software plus a service, so pricing and value are tied to the managed desk and it is less a self-serve product. The branding is mid-transition to Vantify, which can confuse buyers.

Also Worth Knowing

Three more names come up in UK searches. They did not get a full block either because the category is adjacent or because we could not verify enough to rank them fairly.

  • Trackplan. A genuinely low-cost cloud CAFM and CMMS positioned on ease of use and price for SMEs; one case study cites roughly a tenth of Planon's cost. We could not verify exact published pricing (the search collides with an unrelated analytics product), so treat both the price and the "one-tenth" claim as unverified.
  • Expansive FM. A modern-looking multi-site CAFM emphasising FM and contractor collaboration and compliance. A credible newer UK entrant; we found no published pricing, so assume quote-based (unverified).
  • Idox. Public-sector estates, asset and land management used by 340-plus UK local authorities, strong on property terrier, GIS and land rather than day-to-day FM helpdesk. An adjacent category; quote-only, public procurement.
